Scope of this policy

This policy covers the SOVRAX corporate website and enquiries sent to contact@sovrax.io. Contact is by email only. The website does not provide a contact form, customer registration, payment checkout, newsletter subscription or a CRM integration. SOVRAX has not added advertising pixels, visitor analytics or cross-site tracking to this website.

A separately contracted application, service or client project may require its own privacy information and data-processing agreement. Those arrangements are not replaced by this website policy.

Who handles your information

SOVRAX is the shared presentation name of SOVRAX LTD, registered in England and Wales (company number 17371400), and SOVRAX TECHNOLOGIES L.L.C in Dubai (commercial license 1224235; commercial register 2918471). The UK registered office is 128 City Road, London EC1V 2NX, United Kingdom.

The entity handling your enquiry is responsible for the personal information it controls. If your message concerns both companies, or you are unsure which entity is relevant, email contact@sovrax.io to request clarification. An engagement agreement identifies the contracting company; using a shared brand does not by itself make both companies parties to it.

Information involved

When you email us, we receive your email address, message and any name, business contact details, project information or attachments you choose to include. Email systems also process routing and delivery information. Please send only information relevant to your enquiry. Do not send passwords, access keys, identity documents, sensitive personal information or other people’s confidential records in an initial enquiry.

Serving a website involves connection information such as an IP address, request time, requested resource, browser details and error information. Hosting and security providers may process this information to deliver and protect the service. A restricted review version may also use the hosting platform’s own sign-in and access controls; those are separate from a SOVRAX customer account.

Providing enquiry information is voluntary. Without a reply address and enough context, we may be unable to answer or assess your request. This website is intended for business audiences, not directed at children, and does not ask for children’s information.

Why information is used

Enquiry information is used to respond, understand the requested work, arrange relevant follow-up and prepare a proposal where requested. Related correspondence may also be needed to document commitments, resolve a dispute or meet a legal obligation. Technical connection information supports delivery, troubleshooting and protection of the website.

For processing subject to UK law, responding to a business contact and keeping relevant correspondence normally relies on legitimate interests in managing genuine business enquiries, subject to the person’s interests and rights. Steps requested by an individual before entering their own contract, or performing that contract, may instead rely on contractual necessity. Legal obligations apply where a specific law requires processing. If consent is needed for a separate purpose, it must be requested for that purpose; sending an enquiry is not blanket consent to unrelated use.

Processing subject to UAE law must have a basis permitted by that law, such as valid consent or an applicable contractual or legal exception. UK lawful bases should not be assumed to apply to UAE processing. This website does not make decisions about individuals with legal or similarly significant effects through automated profiling.

Access, providers and international handling

Relevant correspondence may be accessible to people authorised to handle the enquiry and to the email, hosting and IT service providers needed to operate these channels. A relevant SOVRAX entity may need to receive a message to address the requested work. Professional advisers or public authorities may receive information where necessary for a legitimate legal matter or where disclosure is required by law.

The UK, UAE and a provider’s processing locations may be relevant to an enquiry. Where information is transferred across borders, the applicable legal requirements and safeguards must be assessed before the transfer. This policy does not assert that every country has an adequacy decision or that a particular contractual safeguard covers every provider. Contact us for information about the recipients, locations and safeguards applicable to your enquiry.

Retention and security

The appropriate retention period depends on whether an enquiry is still active, becomes a project, requires follow-up, or is needed for a legal or dispute-related reason. Correspondence should be kept only while those purposes require it, then deleted or anonymised where appropriate. A project’s contractual records may need a different period from an unsuccessful initial enquiry. You can ask about the retention criteria for your message.

Access should be limited to the people and providers who need the information. Email and internet transmission cannot be guaranteed to be completely secure. If sensitive project material needs to be exchanged, first ask us to agree a suitable channel and any confidentiality arrangements; do not attach it to an unsolicited message.

Your choices and rights

Depending on the law, processing purpose and circumstances, you may be entitled to access or obtain a copy of your information, correct inaccurate information, request erasure or restriction, or receive certain information in a portable format. Where consent is the basis, you can withdraw it without changing the lawfulness of earlier processing. Rights are subject to applicable conditions and exceptions.

  • Right to object: where processing relies on legitimate interests, you may object on grounds relating to your situation. A request should identify the processing you object to.
  • Send privacy requests to contact@sovrax.io with “Privacy request” in the subject. We may need proportionate information to verify your identity and locate the relevant correspondence.
  • You can also raise a concern directly with the relevant supervisory authority. For UK matters, contact the Information Commissioner’s Office (ICO). For UAE matters, the applicable data-protection framework determines the competent authority.

Links, storage and updates

Our email links open your email application; your email provider’s policies also apply. Instagram is an external link, not an embedded social feed. Visiting an external platform is subject to that platform’s own privacy practices.

Our cookie policy explains the current website implementation and the distinction between application features and hosting-platform functions. If the website’s collection or use of information changes, this policy should be updated before the new processing begins. The review date appears at the top of this page.
